I don't have a floor plan file. Can I still use this?
Yes. Upload a PDF or an image of the venue and AI detection marks the tables out for you, so you start from a drawn floor instead of a blank one. If you have nothing at all, draw it yourself in the map editor.
How long does it take to set up an event?
Creating the event takes four steps: the name and link, the venue, the schedule, and how vendors book. Then you draw the floor, price the tiers and connect Stripe. Vendors can pay once the event is published with at least one table and Stripe is connected. Drawing the floor is the slow part and depends on the venue, so we don't quote a setup time.
What stops two vendors buying the same table?
When a vendor starts checkout, the table is held for thirty-five minutes and no one else can claim it. Every other vendor's map shows it within a few seconds. If the checkout is abandoned, the hold expires and the table goes back on sale.
Do my vendors need to create an account?
No. A vendor opens your link, picks a table and pays. There is no password and no account.
Can I approve vendors before they pay?
Yes. Choose Apply first for that event. Vendors pick the tables they want and apply with their contact details, Instagram and what they sell. You approve or decline each one, and approved vendors get an email with a link to pay. Nothing is reserved until you approve. Events that don't need review can use instant booking, where vendors pick a table and pay straight away.
Can one vendor take more than one table?
Yes. A booking is one vendor's purchase of one or more tables at one event. A vendor taking two tables, side by side or across the hall, is one booking, one payment and one row in your list.
Do I need my own Stripe account?
Yes. Vendors pay into your Stripe account, not ours. You're the merchant of record and the money lands with you. Until Stripe is connected, your table map is visible but nothing on it can be bought.
What happens when something goes wrong with a payment?
If a vendor abandons checkout, the table goes back on sale when the hold runs out. Refunds are full, run from the booking page, and Captain Expo's 5% comes back with them. If a late payment lands on a table you already resold, that booking is refunded automatically. Disputes go to your own Stripe account, because you're the merchant of record. Can I take my data with me?
Yes. Every event has a Download vendor CSV button with names, emails, phone, Instagram, city, categories, table labels and what each vendor paid, for every paid booking. Print sheet gives you the floor plan and roster as a PDF. A show selling tickets also has its door list and its opted-in buyers as CSV files. There is no full-account export or contact-list download yet. For anything beyond those, write to hello@captainexpo.com and we'll pull it for you.
